Data entry clerk cover letter example

A strong data entry clerk cover letter shows accuracy first, with a typing speed or daily volume and one example of catching a problem. It should also mention careful handling of personal data and your willingness to take a typing or accuracy test.

Ashby Records Management

Dear Hiring Manager,

I am writing to apply for the Data Entry Clerk role at Ashby Records Management. I currently key customer records into a company database for a records management firm, entering around four hundred a day at about 55 words per minute.

Accuracy is what I am proudest of. I check each entry against the original document before saving, and I correct mistakes straight away rather than leaving them for someone else. I also scan, index and file paper records so they can be found quickly, and I update Excel sheets using filters and simple formulas. When a batch of old paper files arrived with handwriting that was hard to read, I flagged the unclear entries for a supervisor to check rather than guess, so the database stayed reliable.

I handle personal information in line with GDPR and keep it private. I am calm with repetitive work, I meet deadlines and I can work full-time office hours from a short notice period.

Ashby's work looking after records for local businesses appeals to me, because careful data matters to the people who depend on it. I would be glad to take a typing or accuracy test as part of the process. Thank you for considering my application.

Kind regards,

Questions about data entry clerk cover letters

Does a data entry cover letter need to be long?

No. Three or four short paragraphs are plenty, and the letter itself is a chance to show you write carefully.

What if I have little data entry experience?

Use an example from any job where you entered or checked details carefully, and mention your typing speed and Excel basics.

Should I mention the software I have used?

Yes, briefly. Name the database or spreadsheet programs you are comfortable with, and be honest about your level.
