I currently support a small office team with diary management, correspondence and record keeping, using Microsoft Office daily to maintain accurate digital and paper-based filing systems. I also draft routine correspondence and help keep office supplies and equipment orders on track.
When our office moved to a new filing system last year, I took the lead on reorganising several years of paper records into the new structure without any documents being lost, which the office manager later relied on during an audit. I also draft and proofread correspondence and take minutes at team meetings, circulating actions afterwards.

- Name the specific software you are confident with, such as Word, Excel or Outlook
- Give one example of accuracy under pressure, such as reorganising records or meeting a tight deadline without errors
- Mention minute taking or meeting coordination experience if it applies to the role
- Show that you can manage multiple tasks at once, since most office administrator roles need this
- Address the letter to a named contact if the advert gives one, and use 'Yours sincerely,'; if not, 'Dear Hiring Manager,' with 'Kind regards,' is fine, while the more formal 'Dear Sir or Madam,' pairs with 'Yours faithfully,'
